Position Overview:
* Reporting to the Chief Executive Officer (CEO), the Manager of Administration & Operations (MAO) is responsible for the daily operations of the Stevenson Memorial Hospital Foundation (SMHF), ensuring efficiency, compliance with policies and procedures, and a smooth workflow.
Role & Responsibilities:
* Oversees daily administrative operations, making sure they align with SMHF objectives.
* Oversees annual budget process, including the development of the Foundation’s operational work plan.
* Manages and tracks all volunteer information (e.g. resume, contact information, police check document) as well as tracks all training.
* Develop and implement operational strategies and procedures.
* Coordinates annual general Board meeting.
* Works with SMHF Executive Assistant (EA) to support all Board activity.
* Ensures efficient support to all ad hoc and standing committees of the organization.
* Reviews and manages all Board policies.
* Monitors and manages operational costs to ensure maximum efficiency and cost-effectiveness.
* Streamlines operational procedures to maximize efficiency and productivity.
* Manages resources and processes to ensure budget adherence and project delivery.
* Interfaces with Stevenson Memorial Hospital (SMH) Facilities staff on issues related to real estate, space planning, asset management, office infrastructure, construction projects/space upgrades, and purchasing agreements.
* Coordinates team schedules to ensure office coverage at all times.
* Other duties as assigned.
Qualifications and Competencies:
* Bachelor’s degree or Community College diploma in a related field such as business, administration, or comparable professional training/education and work experience.
* Minimum seven years experience in an operations management role.
* Strong organizational and leadership skills.
* Experience with fundraising/CRM database applications, such as Bloomerang or Raiser’s Edge.
* Excellent team management skills as well as strong communication skills, both written and verbal and interpersonal abilities
* Proficiency in MS Office and knowledge of data analysis and performance metrics.
* Manage confidential information and exercise discretion, professionalism, and diplomacy in all interactions.
* Ability to proactively resolve issues and multitask to meet project deadlines.
